Privacy Policy
Covorent respects your privacy and is committed to protecting the personal data you share with us. This Privacy Policy explains what information we collect through this Website — in particular through the contact form — and how we use, store, and protect it. It is written in accordance with the EU General Data Protection Regulation (GDPR — Regulation 2016/679) and the German Federal Data Protection Act (Bundesdatenschutzgesetz — BDSG).

The data protection contact address is the primary channel for any data protection request, including requests to exercise your rights under the GDPR. General enquiries about Covorent’s services can be sent to the general enquiries address.
2. How the contact form works
When you submit the contact form, the information you enter is sent to Web3Forms (web3forms.com), a third-party form-processing service, which forwards it to Covorent's email inbox. Web3Forms processes your data on Covorent's behalf and does not use it for its own purposes. Submitting an enquiry triggers processing of your data for the purpose of responding to that request.
As a result:
- The information you enter is transmitted to Web3Forms' servers.
- Web3Forms forwards it to Covorent's email inbox.
- Covorent receives the information contained in the forwarded message.
3. What information we receive
If you choose to send the email, Covorent receives the information you include, typically:
- Full name — required in the form draft.
- Work email address — required in the form draft.
- Company name — optional.
- Message content — optional, including any details you share about your call volume, workflows, or questions.
We do not knowingly receive information from children under 16. We do not ask you for special categories of personal data (such as health, racial or ethnic origin, religious beliefs, or biometric data). Please do not include such information in your message.
4. Why we use it (purposes and legal basis)
We use the information you send to:
- Respond to your enquiry and provide the information you request about Covorent’s services.
- Follow up on your interest in a potential engagement.
- Keep an internal record of enquiries for organisational purposes.
We process enquiries to respond to requests and discuss potential business engagements. Where applicable, the legal basis is taking steps at your request before entering into a contract (GDPR Article 6(1)(b)) or our legitimate interests in responding to business enquiries (Article 6(1)(f)).
You may object to processing based on legitimate interests at any time by emailing privacy@covorent.com. Objecting does not affect the lawfulness of processing carried out before the objection.
5. How long we keep it
Enquiry data is retained only as long as necessary to respond to your enquiry and for a reasonable follow-up period. As a general rule, enquiries are deleted after 12 months unless they lead to a business relationship or a contractual or legal obligation requires a longer retention period. When data is no longer needed, we securely delete or anonymise it.
6. Recipients
Access to your data is limited to Covorent personnel who need it to respond to your enquiry. We do not sell, rent, or trade your personal data.
Web3Forms (web3forms.com) acts as a data processor for contact form submissions and receives the information you enter in the form solely to forward it to Covorent.
Website hosting provider. This Website is hosted by a third-party hosting provider. As part of normal operation, the hosting provider processes technical data such as IP addresses, browser metadata, and server logs in order to deliver the Website and maintain its security and availability. The hosting provider acts as a data processor and is bound by a data processing agreement.
Email infrastructure. Your email provider, Covorent’s email provider, and any other infrastructure involved in delivering the email (for example, hosting or email-hosting services) may process the message as part of normal email delivery.
7. International transfers
Some of the service providers we rely on — including Web3Forms and, where applicable, our email and hosting providers — may process data outside the European Economic Area (EEA), in particular in the United States. Where data is transferred outside the EEA, we rely on appropriate safeguards recognised under GDPR Chapter V, such as the European Commission’s Standard Contractual Clauses or an adequacy decision. Where required, we will provide further information about the specific safeguards on request.
8. Your rights
Depending on the circumstances and applicable legal requirements, you may have the following rights under the GDPR:
- Access the personal data we hold about you.
- Rectify inaccurate or incomplete data.
- Erase your data when it is no longer necessary or where processing is unlawful.
- Restrict the processing of your data.
- Object to processing based on legitimate interests, at any time.
- Data portability — receive your data in a structured, commonly used format.
- Lodge a complaint with the competent data protection supervisory authority in Germany, such as the Bundesbeauftragte für den Datenschutz und die Informationsfreiheit (BfDI) or the supervisory authority of the federal state in which you reside.
To exercise these rights, email privacy@covorent.com with the subject line “Data protection request”. We will respond within one month, as required by GDPR.
9. Security
We take reasonable measures to protect personal data in our care. The Website is served over an encrypted connection (HTTPS). Email is transmitted through the providers involved in delivery and is protected by whatever transport security those providers apply.
Email is not a fully secure channel. Please be mindful of this when sending sensitive information. No system is completely secure, and you should be aware of the inherent risks of transmitting information over the internet.
10. Cookies and analytics
This Website does not use advertising or analytics cookies. It does, however, load the Inter font from Google Fonts, a service provided by Google. When the font is loaded, Google receives your IP address and certain technical information about your browser as part of the font delivery. This processing is necessary to display the Website as designed. If you prefer to avoid this request, you can block third-party fonts in your browser settings. We are evaluating self-hosting the font so that this external request can be removed in a future update.
If cookie use or third-party resources change in the future, we will update this policy and, where required, obtain your consent through a cookie banner before any non-essential cookies are set.
11. Links to other websites
This Website may link to external sites. We are not responsible for the privacy practices or content of those sites. We encourage you to read the privacy policies of any external sites you visit.
12. Changes to this policy
We may update this Privacy Policy from time to time. The version published on this page, with its “Last updated” date, is the version in force. Material changes will be communicated on this page.
